Everything You Need To Know About Ordering & Deliveries

MARKETPLACE BASICS

  • It is mandatory that all items are purchased through Marketplace per our user agreement.

  • All members will need to create an account to use Marketplace and require training: Please have new team members fill out the new user form at the Marketplace site to schedule within their first few days.

  • Marketplace Trainings are offered on Tuesdays and Thursdays from 2-3PM EST and Wednesdays at 1-2PM EST.

  • Need some Marketplace support? Have a rush order?  Haven't received an item?  Reach out to the dedicated Marketplace Team.
     

DELIVERY BASICS

  • All orders via UPS, Fedex, and USPS will be delivered to the 6th Floor unless you specify with Marketplace team to switch your default mailing address to the 7th floor.

  • You can use the freight elevator to move items up to the 7th Floor, but please consider the following:

    • Freight Elevator Hours of Operation are from Monday - Friday, 8AM - 5PM.

    • You may borrow the cart on the 7th floor if you have multiple/oversized items to move.  Do not use the 6th floor staff cart as staff needs it to stock the cafe and sort packages.

    • Please be patient with the elevator operators as they are servicing the entire building.

Marketplace and Delivery Basics

MAIL & PRINT ROOM

  1. USPS is delivered daily and distributed in companies mailbox

  2. Companies are responsible for scheduling Fedex and UPS pickups along with providing the correct packaging and label.  Items for pickup can be left under the designated sign in the 6th floor freight.

  3. If any biological samples or package that contains dry-ice, you must be DOT certified to ship. Please reach out to Support to learn about the next available training session or use an outside vendor to assist in the shipment.

  4. Please limit printing to 25 pages per job. For booklets and larger printing requirements please use a nearby Staples/Printing service.

  5. Please print double sided and in black ink only whenever possible.

  6. Do not remove office equipment from the copy room (stapler, laminator, paper cutter, etc.).

  7. Please only take your mail or papers.

DELIVERY ROOM

  1. Building management requires that every delivery and installer must have a Certificate of Insurance. See below for more information regarding COIs.

  2. Packages will only be delivered during the week (M-F).

  3. Look out for holidays in the newsletter or events calendar – this may affect your deliveries.

  4. Please only take packages for your company.

  5. Please break down all cardboard and place it in cardboard recycling bin in the freight area.

  6. Hazardous chemicals must be transported to the 7th Floor via the freight elevator.

  7. Use the freight elevator only when appropriate. Please use the internal stairs as primary method getting to the 7th floor.

MAIL & PRINT ROOM

Buying New Equipment? Not So Fast!

All resident owned equipment needs to be approved for use at our facility before it is purchased and per the user agreement, must be purchased through Marketplace. Equipment must fit within your rented space, work within the structural systems of our facility (electrical, ventilation, etc.), and must meet safety regulations as deemed by the BioLabs@NYULangone team.  

Planning A Big Delivery To The Lab? Or Getting Service?
 

The building management requires notification of large equipment deliveries and service work occurring in the building and insurance from vendors.  Biolabs HQ also needs vendor insurance on file.  

  • Residents need to communicate the building requirements and limitations to their vendors as they are the ones making the purchase.  Residents need to be directing the insurance talk with the vendor, not the Biolabs team.  Residents also need to be onsite to accept and coordinate the delivery. 

  • As the lease holders, Biolabs should only be communicating between the resident and the building.  Residents should not reach out to the building staff themselves.  Please send all materials to the Biolabs Team.

  • The building requires an approved certificate of insurance (COI) from any delivery company outside of the standard shippers (FedEx, UPS, USPS).  Even if the company has delivered to Biolabs or serviced onsite before, please check with the Biolabs Team to confirm the COI is still good or request an up-to-date copy of their information. 

  • For any service occurring onsite, the building requires the following.  Again, confirm with the Biolabs Team that the information is still up-to-date with the building or request new copies before scheduling.  

    • A Contractors Agreement​

    • Acord 25 Certificate of Insurance (COI)

    • Acord 855 NY Construction Certificate of Liability Insurance Addendum.​​

  • Biolabs HQ also needs a copy of delivery and service vendor COIs.

  • Please submit required documents with the delivery/service date and time frame to the Lab Manager to submit to the building management a few days in advance of delivery.  Deliveries and service may be rejected if the approved paperwork is not on file or the insurance requirements are not met.  The building is strict on their requirements.  

  • Make sure that the COIs contains the following or it will be rejected by the building and Biolabs:

    • Required highlighted language of the sample COIs including 180 Varick LLC as the certificate holder for one and Bioinnovations, LLC, for the other and associated statements listed in the additional remarks box.  Must be two separate versions.

    • Commercial General Liability with a combined Bodily Injury and Property Damage limit of no less than one million dollars per occurrence.

    • Commercial General Liability with no less than two million dollars in the aggregate. The limits should be applicable either by per project or per location.

    • Umbrella liability with a combined Bodily Injury and Property Damage limit no less than five million dollars per occurrence.

    • Worker’s compensation.

    • All certificates must be on an Acord 25 form and not expired.

    • An Acord 855 must be completed and submitted for service.

  • Please relay the following information to the delivery company regarding the loading dock: 

    • Loading dock is open 8am – 5pm, Monday – Friday.  But note that Biolabs staff do not arrive until 9am. 

    • Loading dock is located on the Charlton Street (southeast) side of the building. 

    • Loading dock parking is first come, first serve.  Trucks can park in front of or across the street from the loading dock and unload to the sidewalk if drivers are unable to wait to pull inside.

    • Loading dock has a max truck height of 11 feet.

    • Lift gate is preferred.  There is also a ramp from the sidewalk to the freight elevator.

    • Pallet jacks must be pre-approved by the building for use in the freight elevator.  The building does not have transport equipment.  Biolabs only has carts, a lift table, and dollies available to borrow to transport items.

    • The building staff does not accept deliveries.  No items can be left in the loading dock area and all items must be delivered directly up to the floor.  Request "inside delivery" from the vendor/shipper for the delivery to occur on our floors.  

    • Please check dimensions of crates and packages against doorways.  The freight elevator is 8’ W X 9’ D X 8’-3” H. The 7th floor freight door is 56” W X 84” H and the 6th floor freight door is 45” W x 82” H.

    • Once arriving on the Biolabs floors, deliverers should call residents or ring the Ring doorbell to alert staff to let them in.  Residents should be available to accept and direct the delivery.  

  • After Delivery: Please move all shipping materials to the garbage (wrapping, Styrofoam, poly strapping, etc.). Cardboard boxes broken down and moved to the cardboard bin in freight area.

    • If items arrived on pallets or in crates, please move these items to the freight area and submit a support ticket for disposal, or email the team to let them know.  Do not just leave items without telling staff.  The garbage service will not dispose of large items without a special request.

  • Make sure that your packages comply with import-export rules according to the U.S. Department of Commerce. 

  • Below please find a document that spots potential trouble signs for shippers shipping your supplies or equipment from outside the U.S. 

  • Law enforcement officials ask you to self-report any issues related to your shipment of supplies coming from outside the US as well as shipping internationally from the US as well.
